Online System Streamlines Policy Creation, Distribution, Certification and Updates

CONCORD, MASS. – January 25, 2016 – ProcessUnity, a leading provider of cloud-based applications for governance, risk and compliance management, today introduced a new solution that automates organizations’ Policy and Procedure Management lifecycles. The cloud-based system replaces spreadsheets, network drives and intranets with a simple, standard process for administering policy lifecycles, certifying communications, assessing performance, and managing exceptions and issues.

“With the constantly changing regulatory landscape and the sheer number of relationships with partners, vendors and customers, corporate policies have never been so important. In addition to guiding how firms should operate, policies have become the primary means to evaluate an organization’s reputation,” said Todd Boehler, vice president of product strategy at ProcessUnity. “Our Policy and Procedure Management solution will ensure that existing policies are up-to-date, employees are aware of the latest changes and organizations can prepare the documentation required to ease due-diligence response efforts.”

ProcessUnity’s Policy and Procedure Management solution combines the creation, control and communications tools organizations need to effectively author procedures, make updates, certify employees and manage exceptions. The secure, cloud-based system deploys quickly with little or no IT involvement. Migration tools make it easy to import existing documentation. Key system capabilities include:

  • Policy Lifecycle ManagementAuthoring and approval workflows move policies along the authoring chain—from human resources to legal, compliance, operations, and others—to secure the edits and approvals necessary to achieve alignment with enterprise objectives. Version controls simultaneously remove ambiguity and record policy history. Automated policy collection centralizes policy locations, provides easy and rapid access to documentation, and actively maps policies to their relevant rules and regulations. Feedback collection tools solicit input that can provide “bottom up” insights for bringing policies and procedures more effectively in line with operations.
  • Employee Certification – Manage “read and understood” evidence collected within the software, complete with audit trails that document policy distribution. Easily configure and edit multiple personnel lists grouped by teams, business units, functions and more. Produce reports
on completion status and push reminders/escalation alerts on incomplete certifications.
  • Exception and Incident Management – Allow personnel to submit exception requests and record when and why approved exceptions were made. Report violations and track their status through automated workflows that direct issues to the appropriate authorities and document actions taken for effective resolution.
